The Real Cost of a Bad CRM Migration, And Why It Usually Shows Up Six Months Later

The most expensive part of a bad CRM migration rarely appears on the original project budget.

Go live happens. Things kind of work. And then, over the weeks and months that follow, the real cost starts to accumulate.



Here are six of the most common ways it shows up.

  1. Data correction time. When data doesn't migrate cleanly, someone has to fix it manually. This is rarely a one-afternoon job. It's an ongoing drain on staff time, and thus money, often invisible because it happens in small increments across the whole team.

  2. Reporting uncertainty. If the data isn't right, the reports aren't right. Teams that don't trust their reporting start making decisions based on incomplete information, or spend time double-checking figures that should simply be accurate.

  3. Compliance risk. Certificate renewals, inspection dates, tenancy end dates, if any of these don't transfer correctly, the risk is real. Most lettings agencies discover this when something nearly gets missed, not before.

  4. Parallel system running. When the new system isn't quite right, teams keep the old one running alongside it. This doubles the admin, doubles the margin for error, and delays the point at which the new system actually becomes the single source of truth.

  5. Team confidence. A system that doesn't behave predictably undermines the team's confidence in it. Workarounds develop. The unofficial system, the spreadsheet, the notebook, comes back. The migration never fully lands.

  6. Client relationships. Landlords notice when communication becomes slower or less accurate. The correlation between a bad migration and a difficult period in client relationships is consistent, even if nobody draws the line between them explicitly.

The common thread across all six is preparation.

Understanding the data before it moves. Knowing which records are problematic. Building a clear plan for exceptions before they become surprises.
