"The system is very intuitive once you get used to it" means there are 47 fields in the CRM, six of them genuinely matter, and the new starter will spend their first two weeks discovering which six through trial and error rather than documentation.


"We have a process for everything" means there is a process for most things. The remainder operates on collective memory, a WhatsApp group, and the institutional knowledge of whoever has been there longest.

"Feel free to ask anyone" means ask Sarah. Sarah knows where everything is. Everyone knows to ask Sarah. This is not written down anywhere.


"The data is all in the system" means the data is mostly in the system. Some of it lives in a shared drive spreadsheet that was last updated in 2022. Some of it exists only in the memory of someone who works part time.


"We're in the middle of an exciting system upgrade" means this has been true for at least eight months and nobody is sure when it ends.


Why does this matter?

Because onboarding is the moment a business reveals the gap between how it thinks it operates and how it actually operates. A new starter asking "where is that?" exposes every undocumented process, every workaround, every piece of collective memory that was never captured properly.


The businesses that onboard well aren't the ones with the best induction packs. They're the ones whose systems and processes are genuinely clear, documented, and consistent, so showing someone how things work is simple because it actually is simple.
